This policy explains how Passmasters Rider Training Limited collects, uses, stores and shares personal information in connection with our website, bookings and motorcycle-training services.
1. Scope and privacy law
Passmasters Rider Training Limited (Passmasters, we, us or our) handles personal information in accordance with the New Zealand Privacy Act 2020 and its information privacy principles.
Personal information is information about an identifiable individual. This policy applies to information collected through our website, booking systems, forms, email, telephone, training courses, assessments and related services.
This policy does not limit any rights you have under the Privacy Act. More information is available from the Office of the Privacy Commissioner at privacy.org.nz.
2. Information we may collect
The information we collect depends on how you interact with us and which service you use. It may include:
- Your name, contact details, date of birth and emergency-contact information.
- Motorcycle licence details, licence class, eligibility information and identification needed for training or assessment.
- Course bookings, attendance, assessment information, certificates and training history.
- Motorcycle details, riding experience, equipment requirements and information relevant to course safety.
- Health, accessibility or other information you choose to provide where it is relevant to safe participation.
- Payment status, refunds and transaction references. Card payments are processed by our payment provider; we do not store full payment-card details.
- Messages, enquiries, feedback, complaints and other communications with us.
- Website information such as IP address, browser type, device information, pages visited and cookie or analytics data.
3. Where we collect information from
We usually collect personal information directly from you when you:
- book or attend a course, assessment or training session;
- complete a form, contact us or subscribe to communications;
- use our website or booking system; or
- purchase or hire a service or motorcycle through Passmasters.
We may also receive information from a person booking on your behalf, a parent or guardian, ACC, NZTA, an authorised licensing or assessment body, a booking or payment provider, or another source where you have authorised collection or the law permits it.
Where we collect personal information indirectly, we will provide any notification required by the Privacy Act, including information privacy principle 3A, unless an exception applies.
4. How we use personal information
We may use personal information to:
- process bookings, payments, transfers, cancellations and refunds;
- verify identity, licence status, course eligibility and assessment requirements;
- deliver motorcycle training, assessments, bike hire and related services;
- manage participant safety, venue requirements and emergency situations;
- issue or administer training records, assessment results and certificates;
- complete reporting required by ACC, NZTA or another authorised programme or regulatory body;
- respond to enquiries, feedback or complaints;
- send service messages and, where permitted, marketing communications that you can unsubscribe from;
- improve our website, course delivery and customer experience;
- detect misuse, protect our systems and enforce our legal rights; and
- meet legal, regulatory, insurance, accounting and record-keeping obligations.
We will not use personal information for a materially different purpose unless you authorise it or the law permits it.
6. Overseas service providers
Some technology providers may store or process information outside New Zealand. Where the Privacy Act requires it, we will take reasonable steps to ensure an overseas recipient is subject to privacy safeguards comparable to those in New Zealand, or obtain appropriate authorisation.
7. Security, accuracy and retention
We take reasonable technical and organisational steps to protect personal information against loss, unauthorised access, misuse, alteration or disclosure.
We take reasonable steps to keep information accurate before using or disclosing it. We retain personal information only for as long as reasonably required for the purposes described in this policy, including legal, programme, assessment, safety and accounting obligations, then securely delete or anonymise it where appropriate.
If a privacy breach causes or is likely to cause serious harm, we will notify affected people and the Office of the Privacy Commissioner when required by law.
8. Cookies and website analytics
Our website may use cookies and similar technologies to operate site features, remember preferences, measure website use and improve performance. Cookies may also be used by embedded booking, analytics or media services.
You can restrict or disable cookies through your browser settings, although some website or booking features may not work correctly as a result.
Links to third-party websites are governed by those organisations’ own privacy policies.
9. Accessing and correcting your information
You may ask for access to personal information we hold about you and request correction if it is inaccurate. We may need to verify your identity before responding.
If we do not make a requested correction, you may ask us to attach a statement of correction to the information. Access may be refused only where the Privacy Act allows it.

10. Changes to this policy
We may update this policy from time to time. The current version will be published on this page with its effective date. Material changes apply from the date the revised policy is published, unless stated otherwise.
